Role Purpose

The Security Supervisor is an integral part of the facilities management team and supports the security manager in overseeing the operational performance of the service provider within the residential compound to provide a safe and secure environment. The role undertakes all aspects of security services, is customer facing and leads by example by delivering exemplary customer service to internal and external stakeholders to ensure standards and reputations are maintained.

Key Accountabilities:
• Responsible for implementing policies, procedures and work instructions within the security operations and in accordance with the defined certification targets such as ISO 18788 and 14001.
• Monitor the service providers agreed processes as referenced in the contract and highlight any deviations as part of the daily log.
• Work closely with the service provider to ensure that workforce deployed are in line with the service agreement and patrolling is in harmony with agreed process and captured through the guard tour system or equivalent.
• Monitor, report, log, and action in respect to guards consistently being equipped with batons, whistles, flashlights and communication equipment (long range handheld units, cellular telephones).
• Emergency procedures are available, understood and practiced ensuring the service provider is fully briefed and aware of all related processes.
• Consistently observe the behavior of guards at the main gate to ensure residents and visitors guests can access the property and receiving a seamless customer experience.
• Constantly review access control systems to ensure they are functioning properly, and service continuity is applied.
• Oversee the key control programme and system including storage, allocation, distribution, master key management, conducting regular audits, vacant unit inspection, provision of training etc to ensure the organisation's assets and personnel are safe and secure, and tenants, visitors and management have the necessary access to secured spaces.
• Ensure measures which have been instated to control the speed of vehicles in the community such as signage, speed bumps etc, are effective, in good working order and being observed by residents, visitors and service providers.
• Prepare parking violation notices for cars that are improperly or illegally parked and include as part of the daily log for the tenant relations team to process the following day.
• Supervise the management, control and coordination all deliveries to the compound, including those requited by F&B outlets and operators, service providers and residents.
• Monitor the use of the public address voice activation system ensuring announcements are pre-recorded, translated, relevant, and clear.
• Oversee the radio and headset management ensuring correct charging, use protocol, spares, storing, volume levels etc.
• Encourage, educate, support guards in finding a balance between providing privacy and respect to residents, and being customer focused, facing and a key part of the customer journey and positive compound experience.
• Communicate with external stakeholders, such as law enforcement agencies and emergency services where required.
• Takes proactive steps to provide a safe and secure environment for all users of the community.
• Ensure that the control room is always staffed and report any issues with the monitoring and recording equipment to the FM team.
• Monitor security systems, including cameras, alarms, and access control systems, to ensure they are functioning properly.
• Maintain records and prepare reports of work activities including incident, accidents and investigation and submit to the security manager daily.
• Respond to security incidents, such as breaches, thefts, or other security-related incidents, and takes appropriate action to mitigate the situation.
• Monitor all reporting and incidents, accident authoring including submission of the daily log and coordination with helpdesk, CAFM etc. collating key information from relevant departments all in accordance with the agreed procedures and data management policies.
• Ensure that paper or digital timesheets and similar reporting systems are generated and submitted as per agreed time scales.
