Job Description
Purpose:

As part of the Management of the Operations & Maintenance function of the company, being responsible for planning, overseeing, organizing and resource managing of all activities related to Services being provided to clients.

Summary of the Job Role:

Responsible for planning and executing all Operations related work within the department.

Ensure that all Facilities Management & Cleaning Services related works are completed as per agreement and is completed on-time and within approved budget.

Oversee all the operational and technical aspects of the Cleaning Service Operations department.

Ensure that all activities are completed with highest Quality and that all HSSEQ standards are achieved.

Ensure organizations interest (financial, contractual & legal) in all activities is safeguarded

Key Deliverables:

Planning of Manpower and Resource requirements to ensure ability to handle Facilities Management & Cleaning Service projects.

Provide inputs for annual budget in line with forecast of work load.

Prepare and Monitor Schedules and Daily Operations activities within the team.

Allocate manpower and resources as required to ensure contracted work is carried out as required.

Support HR in Sourcing and Shortlisting of candidates.

Conduct interviews to select the right candidate for roles within team.

Facilitate training of all staff on subjects related to Quality and HSSE.

Interact with Clients and Suppliers to maintain good relationship.

Receive and handle Employee Grievances in a timely and non-partial manner.

Interface with internal and external project parties to effectively manage, control and ensure delivery of service within budget, on time and in accordance to quality standards.

Ensure that necessary inputs are provided to the Finance team so that timely billing and collection activities can be initiated/completed.

Providing support and direction to the team so as to retain competent Human Resources.

Maintain and monitor inventory in Stores.

Preparation of MIS and other reports as and when required to be sent to the Client or Senior Management of the company.

Support in preparation of Quotations and Tender Documents.

Ensure strict adherence to HSSEQ policies throughout all work sites and offices.

Represent the company as required at external functions.

Review and negotiate contracts - both for new and renewals to ensure best value to the company.

Monitor and prepare performance reports (performance appraisals) for all reportees as per company policy.
